Job Summary

UPWORK is seeking a detail-oriented, proactive, and highly organized Executive Assistant - Back Office Support to provide comprehensive administrative and operational assistance to our leadership team. This remote position is ideal for individuals who thrive in fast-paced environments and possess strong multitasking and communication skills. The role involves handling back-office tasks, managing schedules, preparing reports, coordinating with internal teams, and ensuring smooth day-to-day operations for executives working across different time zones.

Key Responsibilities

  • Provide executive-level administrative support, including calendar management, travel coordination, and meeting scheduling.

  • Handle confidential information with discretion and maintain accurate records of business documents.

  • Assist in preparing business reports, presentations, and internal communications.

  • Manage correspondence, emails, and follow-ups to ensure timely responses and completion of tasks.

  • Support back-office functions such as data entry, document organization, and workflow coordination.

  • Track project progress, update records, and assist in report generation for management review.

  • Coordinate with different departments to facilitate information flow and operational efficiency.

  • Assist in financial and procurement tasks such as invoice processing, vendor follow-ups, and expense tracking.

Required Skills and Qualifications

  • Bachelors degree in Business Administration, Management, or a related field.

  • Proven experience as an Executive Assistant, Administrative Assistant, or Back Office Support professional (remote experience preferred).

  • Excellent written and verbal communication skills in English.

  • Strong organizational and time-management abilities with a keen eye for detail.
